TITLE: REQUEST AND RECEPTION OF NEW DEPOSITS


 INTRODUCTION

Service culture collections may vary substantially in scope with regard to the groups of biological material held. They may be specialised into certain type of cells, specialised in a subject or may hold different types of cell line collections. However, each collection should define its scope and function and should establish its own criteria for the deposit of biological material.

A new accession may be necessary for the following reasons:

  1. a scientist wishes or is obliged to deposit a cell line (obliged by editors of journals, by national or international regulations or by patent law)
  2. a customer has proposed to add a specific cell line to the collection. If the cell line fits the criteria for deposit, the cell line may be included.
  3. a scientist of the collection itself has asked a potential depositor for a cell line of educational, industrial, or scientific interest.

Accession criteria of the different CABRI collections have been compiled in AHC/1998/2/1.2.

PROCEDURE

Following customer request, application by a potential depositor, or following screening of scientific literature or databases by the collection staff, potential new cell lines are identified for inclusion into the collection. A cell line can be accepted for deposit if it conforms to the accession criteria of the collection.

  1. A standard letter is sent out to the potential depositor inviting inclusion of the cell line into the collection. See AHC/1998/2/1.1 Appendix 1
  2. If a positive response is received, a blank Accession Form is sent to the potential depositor. The potential depositor is requested to return the completed accession form to the collection before the cell line is dispatched. See AHC/1998/2/1.1 Appendix 2.1, Appendix 2.2, Appendix 2.3
  3. In case the collection intends not to accept an offered cell line, the potential depositor is informed by letter or by email.

  4. On arrival:
    1. The cell line is stored as appropriate
    2. Date of arrival, depositor, cell line identification, location, and the cell line accession number are recorded.
    3. All documents related to the cell line, all correspondence from and to the depositor and any other relevant information are kept in a file.
    4. A letter (or email) may be sent to the depositor to acknowledge receipt of the cell line

  5. The cell line is then subjected to master cell banking and quality control tests
